Accountant / Office Manager

ROLE OVERVIEW
The primary job function for this position is Accountant/Office Manager.

ESSENTIAL DUTIES KEY RESPONSIBILITIES
  • Full ownership of Accounts Payable, including processing bills in QuickBooks Online using correct GL codes and classes, obtaining proper approvals and paying bills on time. Maintain organized and up-to-date vendor files and develop a good working relationship with vendors.
  • Enter credit card charges in QuickBooks Online in a timely manner using correct GL codes and classes, be proactive in following up on missing receipts, and assemble monthly statements with receipts attached.
  • Full ownership of Accounts Receivable, including preparing invoices, processing receipts, maintaining strong client relationships and managing the collections process to minimize past due receivables.
  • Monitor company cash balances, initiate recurring and one-time ACH payments and wire transfers as needed and monitor the Positive Pay function.
  • Prepare sales tax returns and remit sales tax payments.
  • Review and process company payroll.
  • Maintain up-to-date fixed asset inventory system.
  • Maintain time and expense tracking software.
  • Assist with year-end audit.
  • Prepare annual 1099’s
  • Adhere to all accounting deadlines and maintain open communications.
  • Manage RingCentral phone system. Maintain users and system settings as requested. Answer any calls for operator and check operator voicemail.
  • Manage office and kitchen supplies. Maintain inventory, organize supplies and order/stock as necessary.
  • Coordinate and manage all building maintenance issues with building management.
  • Coordinate and manage off-site storage.
  • Manage office equipment contracts (copier, printers, postage, etc.), coordinate equipment maintenance, assist with troubleshooting equipment problems, and inventory/order supplies as necessary.
  • Assist with remote door answering.
  • Perform other related duties as assigned.

MINIMUM REQUIRED KNOWLEDGE, EXPERIENCE, SKILLS
  • 2+ years of relevant accounting experience in an accounting department, including A/R and A/P
  • Office management experience
  • Superior communication skills (written and verbal)
  • An eagerness to learn and a desire to be part of a successful team
  • Excellent time management, organizational and multi-tasking abilities
  • Good leadership and interpersonal skills, internally and with clients
  • Discretion and business ethics
  • Proficiency in software applications and aptitude for learning systems quickly
  • QuickBooks Online experience (preferred)
  • Strong Excel and Word skills (pivot tables, mail merge, etc.)
  • Salesforce (preferred)

EDUCATION
Bachelor’s Degree preferred

ROLE OVERVIEW
The Controller will play a critical role in ensuring accurate and timely financial reporting and compliance, as well as participate in the company’s financial strategy and planning. The ideal candidate will love a good Excel spreadsheet and be a team player who is proficient in financial reporting and tax compliance, with strong analytical skills and the ability to manage multiple tasks.

ESSENTIAL DUTIES KEY RESPONSIBILITIES
  • Manage the month-end and year-end close processes, including preparation of GAAP journal entries, balance sheet reconciliations, general ledger review, variance analysis and financial statement preparation.
  • Monitor company cash balances, ensuring adequate liquidity for company needs. Assist with ACH payments and wire transfers as needed.
  • Calculate monthly commissions and distribute commission reports.
  • Oversee the monthly invoicing process.
  • Analyze and prepare financial reports for management and investors.
  • Full ownership of company taxes including payroll, sales, property and income taxes.
  • Ensure compliance with local, state and federal regulations.
  • Maintain fixed asset management system and reconcile to general ledger.
  • Assist with the preparation of budgets and forecasts.
  • Assist with the annual audit and respond to audit requests.
  • Assist with payroll processing and 401(K) plan recordkeeping.
  • Assist in the formulation of internal controls and policies to comply with best practices.
  • Act as backup for other team members when needed.
  • Perform special projects as assigned.

MINIMUM REQUIRED KNOWLEDGE, EXPERIENCE, SKILLS
  • 5+ years of relevant accounting experience
  • In-depth understanding of GAAP and financial reporting standards
  • Knowledge of local, state, and federal taxes, financial regulations and reporting requirements
  • Superior communication skills (written and verbal)
  • Excellent analytical and problem-solving skills, with the ability to interpret complex financial data
  • Strong Excel and Word skills
  • High level of accuracy and attention to detail
  • Strong leadership and interpersonal skills
  • Excellent time management, organization and multi-tasking abilities
  • Must possess a strong work ethic and be flexible to adapt to changing business needs

Overview

The Marketing Operations Specialist will play a pivotal role in optimizing and managing the marketing technology stack, streamlining workflows, and enabling data-driven decision-making to enhance marketing performance. This role is essential for driving efficiency and alignment across our marketing and business development efforts, ensuring seamless collaboration and impactful campaigns.

 

Key Responsibilities

Marketing Technology Management

  • Own and optimize the marketing tech stack, including core platforms like HubSpot and Salesforce.
  • Work with tools such as Ceros, PlayHt, Trello, Riverside, HeyGen, ChatGPT, and other automation or AI tools to support marketing initiatives.
  • Ensure integrations between platforms are optimized for data accuracy and usability.

Campaign Operations

  • Build, deploy, and track performance of email campaigns, landing pages, and workflows in HubSpot.
  • Collaborate with the marketing team to implement A/B tests and analyze results to refine strategies.

Data Analysis & Reporting

  • Develop dashboards and reports to track campaign performance, lead generation, and pipeline contribution.
  • Analyze marketing metrics to uncover insights and make recommendations for optimization.

Process Improvement

  • Design and implement streamlined workflows to support marketing initiatives and cross-functional projects.
  • Ensure timely task automation and alignment between marketing and business development teams.

Collaboration & Training

  • Partner with the Business Development team to align marketing campaigns with sales strategies.
  • Provide training and support to maximize the team’s use of marketing tools.

 

Key Qualifications

  • Bachelor’s degree in marketing, business, or a related field.
  • 3+ years of experience in marketing operations, demand generation, or a similar role.
  • Proficiency with marketing automation platforms (HubSpot required) and CRM systems (Salesforce preferred).
  • Familiarity with project management tools (e.g., Trello) and content creation platforms (e.g., Riverside, HeyGen).
  • Strong analytical skills with the ability to translate data into actionable insights.
  • Excellent organizational skills and attention to detail.
  • Experience with workflow automation tools and an ability to create efficiencies in processes.
  • Familiarity with B2B marketing strategies, particularly in financial services, is a plus.
